Pre-Recorded Presentation Requirements

Digital Access Recorded Presentation Requirement

Recorded Presentation Deadline:  November 1, 2026.

As part of IAA’s conference experience, all speakers are required to submit a pre-recorded version of their presentation prior to the event.

  • Recording should be a full run-through of your presentation
  • Must include both slides and speaker video/audio
  • Preferred format: MP4
  • Recording may be used for educational and on-demand purposes

CREATING YOUR RECORDING ENVIRONMENT

You are essentially creating your own stage for this recording. Below are best practices to help you look and sound your best:

  • Ensure you have access to a quiet, distraction-free space
  • Use a reliable internet connection (hard-wired is preferred over Wi-Fi)
  • Set up a comfortable "stage" with good lighting (lighting is key!)
  • Be mindful of your background, remove distractions that may take away from the learning experience. 
  • Camera positioning: Slightly above eye level, angled slightly downward, and framed closely
  • Sitting vs. standing: Choose what feels most natural. If standing, minimize movement, as it can appear exaggerated on camera. 
  • Clothing: Wear solid colors; avoid patterns, as they can cause visual distortion on screen.

RECORDING REQUIREMENTS

  • Your presentation should be screen recorded via Zoom, PowerPoint, or similar platform. 
  • Slides should be your primary focus, with your webcam visible in a corner. 
  • This format ensures consistency across presentations and avoids issues like glare or hard-to-read slides. 
  • Filer format: final submission must be an MP4 file.  

HOW TO RECORD USING ZOOM 

  1. Open the Zoom app on your computer. Note: a free account will only record up to 40 minutes. If your presentation is longer, you may record in multiple segments. 
  2. Click “New meeting”.
  3. Select “Join with computer audio”.
  4. Have your PowerPoint presentation open and ready on your desktop.
  5. Navigate back to the Zoom app meeting window and select share screen. Select your open PowerPoint from the screen options. We recommend sharing the PowerPoint app instead of sharing your screen to avoid unintentional recording of notification pop-ups such as Outlook or Teams, or other items you may have open.
  6. Click share.
  7. Navigate back to your PowerPoint and place it in slideshow mode. It is important to note that you will not have access to the PowerPoint notes if you are only using one screen. Consider a dual-screen setup if you will need to have access to your slide notes or print them prior. Move the zoom window with your webcam image to a corner of your screen, to avoid blocking valuable slide information.
  8. In the Zoom app, Move the cursor over the “you are screen sharing” tab at the top of the screen. When you do this, another bar will lower from the top. On this bar, select “…more”.
  9. Select “record” from the drop-down menu.
  10. Begin your presentation. The screen that you are sharing, and your webcam will be recorded.
  11. When you are finished recording, go back to “…more” and select “stop recording”.
  12. End your meeting.
  13. Your meeting recording will automatically be prepared by Zoom and downloaded.
  14. Send us the MP4 from the folder downloaded that starts with the word “video”.
