Job Summary: The Asset Coordinator serves a vital role in overseeing the administrative processes for the company’s assets. Working independently, and in conjunction with the Shop Manager, the coordinator ensures an accurate and timely daily administrative workflow for all business assets. The coordinator will help the department reach department goals by monitoring data on a daily, weekly and monthly schedule. This role works in conjunction with the purchasing and accounting departments to ensure the accuracy and timeliness of data entries. The coordinator must have the ability to communicate with all internal and external customers to meet department goals. The coordinator will take a proactive approach in resolving matters to maintain the consistent flow of the business operations.

Essential Duties and Responsibilities include the following, other duties may be assigned:

Asset & Shop Responsibilities

  • Ensure all assets are inventoried, numbered, tagged, insured, registered and otherwise brought into compliance with all City, State, and Federal regulations.
  • Process and reconcile all shop related invoices.
  • Manage process of receiving, paying, filing and tracking all traffic violations andcoordinate with HR when employee is responsible for the fine.
  • Create purchase orders for activities related to asset acquisition.
  • Track all sold/junked assets through the end of life cycle.
  • Scan all shop-related paperwork, including invoices, preventative maintenance checks,oil changes, warranties, and recalls into Viewpoint.
  • Maintain accurate and thorough files on all company vehicles, including titles (copies),registrations, and city stickers.
  • Coordinate with Accounts Payable to ensure asset and shop-related invoices are paid ina timely fashion.
  • Maintain annual fleet compliance with Department of Transportation regulations.
  • Manage GPS system inputs and reporting.
  • Manage I-Pass account, including invoicing and compliance.
  • Collect, organize, process, and enter all yard-related invoices, delivery receipts, and loadtickets.
  • Record and report received, non-received, damaged, and incomplete shipments to YardManager/Purchasing.
  • Assist Yard Manager in monitoring bulk inventory, ordering of bulk materials, andlogistics.
  • Assist Yard Manager in monthly inventory counts and other tasks to complete monthlyclosing.
  • Additional duties as assigned by the Shop Manager.

Education/Work Experience:

  • HS Diploma or GED required. College degree preferred. Equivalent combination of education and experience is also fully qualifying.
  • Two years of administrative work experience required.
  • Experience with vendor relations and light accounting or bookkeeping duties preferred.

Knowledge, Skills and Abilities:

Developed organizational skills, effective communication skills and an ability to manage multiple priorities and meet deadlines. Proven ability to establish good internal and external working relationships.Ability to use technology to maintain accurate records and to advance goals.Computer skills – including email, word processing, database usage with a strong attention to detail.

Physical Requirements:
Essential and other important responsibilities and duties require maintaining physical condition necessary for walking, standing and sitting for prolonged periods of time; may be required to push, pull, bend, lift light to moderate objects (10 lbs.), carry, reach, and stoop; finger dexterity is essential. Maintain mental capacity that permits making sound judgments regarding work and have regular attendance.
